Secretary III
JOB SUMMARY: Responsible for providing clerical/secretarial support for the Professional Standards Division and transcription of investigative material.
ESSENTIAL JOB FUNCTIONS:
- Transcribes taped interviews from internal investigations utilizing a personal computer and transcription machine; proofreads transcripts for accuracy.
- Answers division telephone; answers questions and directs callers to appropriate personnel.
- Greets visitors to the division; maintains security admitting only authorized personnel.
- Maintains departmental case files including Professional Standards, Internal Affairs, and Investigation files from other divisions.
- Maintains log of all investigation cases received by division.
- Types and maintains confidential materials for the supervisor.
- Receives complaints from the public, Sheriff’s Department staff, or other law enforcement agencies; ensures complaints are forwarded to appropriate personnel.
- Researches ACIC/NCIC computer records for background checks on applicants as well as other individuals from internal investigations.
- Receives a list of randomly selected employees from drug testing agent; completes drug test forms for Deputy to deliver to appropriate personnel; sends updated personnel roster to drug testing agent on a regular basis.
- Receives requests for employment references for past or current employees; requests authorization for release of information when needed; researches computer or personnel files for background information as requested prior to referral to supervisor.
- Maintains written and computer logs of all investigation cases received by the division.
- Records minutes from staff meetings; transcribes meeting minutes.
- Completes letters and inquiries to request information for background investigations on prospective employees.
- Receives documents from new applicants requested during background investigations.
- Maintains confidentiality of all departmental information.
- Serves as backup to Executive Secretary to Sheriff as needed in absence.

WORKING CONDITIONS: Work is performed in a smoking-restricted office environment.
MINIMUM QUALIFICATIONS:
REQUIRED SKILLS, KNOWLEDGE, AND ABILITIES:

- Good knowledge of office practices, procedures, equipment, and terminology.
- Good knowledge of filing and record-keeping systems.
- Ability to record minutes from meetings and transcribe them on a personal computer.
- Ability to use transcription machines to transcribe taped interviews.
- Ability to handle confidential material in a reliable manner.
- Ability to establish and maintain effective working relationships with other employees and the general public.
- Ability to attend work regularly and reliably.
- Skill in the operation of and data entry of a personal computer.
PHYSICAL REQUIREMENTS:

- Digital dexterity is necessary for keyboard and calculator operation.
- Visual acuity is necessary for use of a computer screen.
- Ability to orally communicate effectively, both in person and by telephone.
- Ability to perform transcription for extended periods of time.
EDUCATION AND EXPERIENCE:
Completion of high school or GED equivalency including advanced clerical/secretarial courses; considerable clerical, secretarial, or related work experience including experience with word processing systems; or any equivalent combination of experience and training which provides the required skills, knowledge, and abilities.
Requirements
- Employment is contingent upon the successful completion of a criminal background check, motor vehicle report, child maltreatment check, and adult maltreatment check.
- Must possess or be able to immediately obtain a valid Arkansas driver's license.
- Must be able to obtain ACIC/NCIC Certification within one year.
- No felony convictions.
- Regular and reliable attendance is an essential function of this position.
