Vendor Order Specialist (VENDO012433)
The Vendor Order Specialist will serve as point of contact and support for processing vendor orders such as flood determinations, title work, environmental assessments, etc. on behalf of the bank's lending staff. This position will also serve as primary contact for vendors to resolve discrepancies and related issues with orders.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Place orders for flood determinations, title work, surveys, environmental assessments and other items as necessary to facilitate loan documentation and closings. This duty is performed daily, about 90% of the time.
2. Provide status updates and additional information to the lending staff for all orders that have been placed. This duty is performed daily, about 70% of the time.
3. Receive the documentation for orders and supply confirmation to the lending staff as necessary. This duty is performed daily, about 50% of the time.
4. Responsible for uploading images of the documentation to bank's document management software. This duty is performed daily, about 10% of the time.
5. Identifies lending staff needs and takes appropriate action to resolve problems and/or issues in the order process. This duty is performed daily, about 20% of the time.
6. Responsible for professional written and verbal communication and correspondence on behalf of the bank. This duty is performed daily, about 90% of the time.
7. Serves as a back-up for other areas of the department as time allows. This duty is performed as needed, about 5% of the time.
8. Completes required BSA/AML training and other compliance training as assigned. This duty is performed quarterly, about 15% of the time.
9. The ability to work in a constant state of alertness and in a safe manner. This duty is performed daily, about 100% of the time.
10. Perform any other related duties as required or assigned.
QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
EDUCATION AND EXPERIENCE
Knowledge of a specialized field (however acquired), such as basic accounting, computer, etc. Equivalent of four years in high school, plus night, trade extension, or correspondence school specialized training, equal to two years of college, plus 12 to 18 months related experience and/or training, or equivalent combination of education and experience.
COMMUNICATION SKILLS
Ability to effectively communicate information and respond to questions in person-to-person and small group situations with customers, clients, general public and other employees of the organization.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to prepare and interpret bar graphs.
CRITICAL THINKING SKILLS
Ability to solve practical problems and deal with a variety of known variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, or diagram formats.
